What can RevenueVision® do that AI can't?
- Product vs. program: Products are built with complete validation, error checking, reporting, security, documentation, and rigorous testing to ensure repeatable results. Programs may accomplish a specific task, but they are not typically designed for use and maintenance by multiple staff members. Necessary changes may also depend on the skills and availability of the program's original developer. RevenueVision® is a product; an internally developed AI solution is a program.
- Structured vs. unstructured data: Data from multiple sources may contain redundancies, duplicates, and inaccuracies that lead to unreliable results. RevenueVision® transforms unstructured data into structured, reliable information that supports accurate and timely results. Unstructured data can also create performance issues over time, increasing costs and unnecessary token usage.
- Constant innovation vs. a point-in-time solution: SaaS companies must continually evolve and innovate to retain customers who pay annual subscriptions. That business model requires ongoing improvement; point-in-time programs do not. RevenueVision® is a mature product currently on its 41st release, demonstrating our commitment to continuous innovation.
- Domain, industry, and subject-matter expertise: Relying only on internal resources can result in programs limited by the experience of the staff involved. Because we work with dozens of institutions of all types—public and private, large and small—we bring significant experience, insight into what works well, and guidance on industry best practices.
- Known cost vs. unknown cost: The cost of RevenueVision® is a known quantity, and annual subscription price increases are limited to 5%. The cost of AI for your specific needs is currently unknown. You may also need to hire additional resources to support internally developed systems.
- Parallel running is a best practice: Running systems in parallel enables meaningful comparisons and provides important validation before relying on a new solution.
- Repeatable results: Products such as RevenueVision® use sophisticated, tested algorithms to ensure that the same question produces the same answer every time, eliminating the chance for hallucinations. LLM results can remain uncertain until the models and supporting processes are properly trained and controlled for the consistency your organization requires.
What if I am contracted and/or self-operated? Can your software still help me?
Yes, our software is designed to help both contracted and self-operated areas.
For contracted institutions, RevenueVision® can assist in the initial RFP process by tracking responses to contract proposals, documenting awarded contracts, and further managing those contracts by tracking important terms, dates, amendments/renewals, assets, budgets, financial terms, invoicing (which can be emailed directly to anyone of your choosing), any statistical information related to the contract (including declining balances, sales, profit/loss, transactions, etc.), and documents that can also be emailed directly from the system.
For self-operated institutions, RevenueVision® can act as a database for your source systems — sales and transactions, profit/loss, labor hours and wages, online ordering, student housing information, student demographics, and much more. We create our database tables to match closely with your files for seamless uploading, and combine your data sources to gather your important KPIs and analysis.
Does RevenueVision® only track revenue-generating contracts?
The system is named RevenueVision® because we strive to optimize and improve your operational revenue. However, it can also track expense-based contracts and internal agreements such as MOUs. As long as it has a date and a signature, it can be tracked.
Do you integrate directly with source systems (Banner, Dynamics, PeopleSoft, Micros, Grubhub, etc.)?
We do not integrate directly with your source systems, but we have a series of solutions to get your source data into RevenueVision®. The first is our internal upload capability, where someone from your team uploads the data at whatever frequency you dictate. The second is our web services solution, where your IT personnel write a script to call our web services to auto-upload data at a frequency of your choosing — some institutions upload daily, though weekly is more common.
We are flexible when it comes to the data received; we match the structure of your data for seamless uploads.
What types of licenses/subscription models do you offer?
Named User License: Specifies the number of users and their access type (read-only or update).
Enterprise License: Unlimited users for your entire institution.
Departmental License: Unlimited users within your department.
Departmental and enterprise licenses are based on your total auxiliary revenues for the fiscal year of purchase. There is a one-time upfront cost for implementation and training, included in your first-year subscription invoice.
Are there additional modules not included in the base subscription?
Yes — add-on modules include Workflow (pre-award routing and approvals), Report Scheduler (automated scheduled reports emailed to a distribution list), Operational Statistics (high-granularity data, down to 30-minute POS intervals), GASB-87 (lease accounting compliance), Data Loading (our experts upload your statistical data), Concierge (full contract management by our experts), and RevenueVision® Connect (RESTful web services integration).

What is covered in support services?
Support covers unlimited calls and emails to the support team Monday–Friday, 8am–6pm EST, plus any refresher webinars needed after your training sessions are complete. Additional training, implementations, and re-implementations are an additional cost, usually on a time-and-materials basis.
What types of reports/KPIs are currently tracked in RevenueVision®?
Commission and sales trends, food and labor cost percentages, check averages, plate costs, profit/loss per customer, inventory analysis, inventory turnover rates (monthly/quarterly/annual), average transactions per customer, average sale per customer, highest remaining balances by GPA, and much more.
